Who this policy covers
This policy explains how Platinum Chauffeurs handles personal information collected through platinum-chauffeurs.co.uk and through the reservations and enquiries that begin on it. It applies to prospective clients, clients, and anyone whose details are passed to us so that a journey can be arranged for them.
For information handled through this website, the public controller contact is Platinum Chauffeurs at info@platinum-chauffeurs.co.uk. Where a written booking confirmation identifies a different transport supplier as a controller for delivery of the journey, that supplier’s notice and contact details also apply.
What we collect
We only ask for what is needed to quote and deliver a journey. Nothing on this website requires you to create an account, and there is no payment collection on the site itself.
- Identity and contact details: name, mobile number, WhatsApp number, email address and company name where given
- Journey details: pickup and destination addresses, intermediate stops, dates, times and duration
- Travel context: flight number, terminal, arrival or departure, and handling agent where relevant
- Party details: passenger numbers, luggage volume, child seat requirements, accessibility requirements and any special request you choose to tell us
- Correspondence: the content of messages you send us and our replies
- Technical data: information your browser provides when loading the site, such as IP address, device type and pages viewed, where analytics are enabled
How the reservation console works
The reservation console on this site does not silently transmit anything to a booking database. It assembles the details you type into a formatted itinerary in your own browser and opens that text in WhatsApp when you submit, where you can review it before pressing send.
That means your reservation is delivered through WhatsApp, and WhatsApp processes the message under its own terms and privacy policy. If you would rather not use WhatsApp, contact us by another route and we will take the details another way.
Why we use your information
We process your information to prepare quotations, arrange and deliver journeys, brief the chauffeur who will drive you, keep in contact about a booking, and keep the records we are required to keep as a business.
The lawful bases we rely on are steps requested before a contract and performance of a contract; legitimate interests in responding to enquiries, securing the service, preventing misuse and keeping proportionate business records; and legal obligation where accounting, tax or other law requires a record.
An accessibility note may reveal health or disability information. The field is optional and the form asks for explicit agreement before preparing that information for WhatsApp. It is used only to assess and arrange the requested adjustment and may be withdrawn before travel by contacting us.
Who we share it with
Journey details may be shared with the chauffeur and licensed transport supplier identified for the booking, and only to the extent needed to quote, confirm, drive, support or account for that journey.
Service providers may process information for website hosting, image delivery, email and WhatsApp messaging. Analytics and advertising providers receive data only if their integration is configured and the visitor accepts optional cookies. We do not sell personal information or share it for unrelated third-party marketing.
International processing
WhatsApp, website infrastructure, image delivery and email services may process information outside the United Kingdom. The relevant provider is responsible for its own published locations and safeguards, while we remain responsible for choosing services and using them consistently with UK data-protection law.
If a booking requires information to be sent to a supplier outside the UK, that transfer is limited to what is needed for the journey and the applicable safeguard or legal basis is considered before disclosure.
How long we keep it
Enquiries that do not lead to a booking are reviewed and removed when they are no longer needed to answer the request or establish what was discussed. Confirmed-booking and payment records are retained according to applicable accounting, tax, complaint and legal-claim periods, then deleted or anonymised.
If you ask us to delete your information sooner and there is no legal reason to keep it, we will do so.
Keeping it secure
Access to client information is limited to the people who need it to arrange or drive a journey. Chauffeurs are briefed that anything seen, heard or left in a vehicle is confidential, and that itineraries are not discussed outside the arrangement they belong to.
No transmission over the internet can be guaranteed completely secure. We take reasonable technical and organisational measures, but you should avoid sending highly sensitive information through messaging channels where it is not needed for the journey.
Your rights
Under UK data protection law you may ask for a copy of the personal information we hold about you, ask us to correct anything inaccurate, ask us to delete it where there is no continuing reason to hold it, object to or restrict certain processing, and ask us to transfer it to another provider in a portable form.
To exercise a right, email info@platinum-chauffeurs.co.uk or follow the Data Rights Procedure linked in the footer. A valid request is normally answered within one month. If you are not satisfied, you may complain to the Information Commissioner’s Office through ico.org.uk or its published helpline.
Cookies and analytics
This site keeps its use of browser storage to a minimum. Analytics and advertising tags require both a real measurement identifier and an active acceptance through the optional-cookie control before they load.

Changes to this policy
This policy will be updated when the way we handle information changes, or when the service changes in a way that affects it. The date at the top of the page always reflects the current version.
Material changes will be reflected here rather than communicated individually, so it is worth checking this page if you have not used the service for some time.
