Data Rights Procedure

How individuals can exercise UK data-protection rights and what happens after a request is received.

Making a request

Email info@platinum-chauffeurs.co.uk with the subject “Data rights request” and state the right you wish to exercise. Include enough information to locate relevant correspondence or bookings, but do not send identity documents unless they are requested through an appropriate route.

Requests may cover access, correction, deletion, restriction, portability, objection or withdrawal of consent where consent is the lawful basis. Each right has legal conditions and may not apply to every record.

Identity and response time

Reasonable evidence may be requested where identity is uncertain or disclosure could affect another person. Verification is limited to what is necessary to protect the information concerned.

A response is normally due within one month after a valid request is received. If a legally permitted extension is necessary because a request is complex or numerous, the individual is told within the first month and given the reason.

Third-party passenger information

Assistants, employers, travel managers and family members sometimes provide passenger details. A request from the passenger is assessed against the same rights while protecting confidential information belonging to the person who made the booking or another traveller.

Information may be retained where law requires it, where it is needed for legal claims, or where another lawful exemption applies. Any refusal or partial response is explained.

Complaining to the ICO

A concern should first be raised through this procedure so it can be investigated. If the response is unsatisfactory, the individual may complain to the Information Commissioner’s Office through ico.org.uk or its published helpline.

Using the complaints route does not prevent an individual from seeking independent advice or another remedy available under data-protection law.
